AI business automation via WhatsApp and Telegram

AI automation for your business, run from WhatsApp or Telegram. Give an instruction in the chat; Hermes carries it out in your systems and asks for your approval with a single tap.

Hermes AI is a service of Kantex, part of AI solutions.

Two developers at work in a bright office

Sound familiar?

Hermes AI is Kantex’s business automation that you operate from WhatsApp or Telegram. AI agents carry out well-defined tasks in your existing systems, such as entering an order from an email into the ERP or preparing a supplier invoice for posting. You give instructions and approve work from the chat, and every action is recorded in a log.

Much office work is re-keying: taking something from an email or PDF and entering it somewhere else. Hermes does that re-keying, as an agent working in your mailbox, ERP or ticketing system, within limits you set. And there is no new system to open: you simply message Hermes on WhatsApp or Telegram, and that is also where results and approval requests arrive.

  • Work arrives unstructured

Orders, requests and invoices come in as emails, PDFs or scans. Before any system can use them, someone has to read them and type them in.

  • The same task, every single day

Compiling a report from three exports, sending a ticket to the right department, looking up a customer question in the file. It is familiar work that still needs a person every time.

  • Rule-based automation falls short

Traditional workflows break on unusual layouts, missing fields or free text. Those exceptions are exactly why the work is still done by hand.

What Hermes AI does

For each application: where it starts, what the system does and what a person still decides.

Giving instructions via WhatsApp or Telegram

Starts with
A message, voice note or photo in WhatsApp or Telegram
What happens
Send Hermes an instruction such as “prepare the order for Jansen Bakery” or “how much is outstanding in receivables?”. Hermes looks it up in your systems, carries out the task as a draft and sends the result back in the chat.
Stays with a person
Actions with impact arrive as an approval request in the chat: one tap to confirm or decline.

Orders from email and PDF

Starts with
A mailbox with orders as text, PDF or attachment
What happens
Hermes reads the order, identifies the customer, items, quantities and delivery date, and prepares a draft order in your ERP or order screen. Unknown items or deviating prices are flagged.
Stays with a person
An employee confirms or amends the draft order. Only then does it become final.

Processing supplier invoices and documents

Starts with
Invoices, packing slips and contracts as PDF or scan
What happens
Supplier, invoice number, amounts, VAT and cost centre are extracted and matched against the purchase order. Invoices that match are ready for posting; discrepancies go on a list.
Stays with a person
Only invoices with a discrepancy or above a threshold amount are put to a person.

Routing and preparing customer queries

Starts with
Incoming emails and tickets
What happens
Each query is classified, assigned to the right department or employee and enriched with the relevant data from your systems, such as the latest order or the contract. For common questions a draft reply is ready.
Stays with a person
The employee sends the reply; Hermes sends nothing to customers without approval.

Compiling reports

Starts with
Exports and data from ERP, CRM or accounting
What happens
At a set time Hermes collects the figures, puts them in the agreed format and adds a short note on notable changes compared with the previous period.
Stays with a person
The report goes to its owner as a draft, who checks it before it is shared.

What it is and what it is not

So you know in advance whether you are in the right place.

Hermes AI is

  • Control, notifications and approvals via WhatsApp or Telegram
  • Agents that work in your existing systems through their integrations
  • An approval step for every action with impact, configured by you
  • A log per task: what was read, what was decided, what was done
  • Management and monitoring by Kantex after delivery

Hermes AI is not

  • A chatbot for your website
  • A standalone chatbot without access to your systems
  • A replacement for your ERP, CRM or accounting software
  • A system that makes decisions on its own that nobody can reverse

How we approach it

Small steps with a decision point after each one. You are never locked in.

  1. Choose one process

We start with one recurring task that currently takes a lot of time and whose outcome is easy to check. Usually order entry or invoice processing.

  2. Set the limits

Together we decide what Hermes may complete on its own, what always goes past an employee, and which systems it may read and write.

  3. Run alongside on real input

For a period Hermes processes real emails and documents, but everything stays a draft. We measure how often the outcome is right and where it is unsure.

  4. Go live with approval

Correct cases go through; exceptions land on the review list. The threshold for what may run automatically only moves when the figures justify it.

  5. Expand task by task

Once the first process works, we add the next task. Each task has its own limits and its own log.

Frequently asked questions about Hermes AI

How does Hermes work via WhatsApp or Telegram?

Hermes gets its own business WhatsApp number (through the WhatsApp Business API) or a Telegram bot. Only employees you have registered can give it instructions. You send a message, Hermes carries out the task in your systems and sends the result or an approval request back in the same chat.

Does that mean my business data sits in WhatsApp or Telegram?

Only what you send in the chat and what Hermes reports back. The data itself stays in your own systems. For each task we agree which information may appear in a chat message; sensitive details are not posted in the chat but placed behind a secure link.

What does Hermes do if a document is unreadable or data is missing?

The task is not completed but placed on the review list, with the reason: which field is missing or which value is uncertain. An employee fills in the gap or rejects the task. Hermes does not guess and never passes incomplete data to a system.

Which systems can Hermes work in?

Any system with an API, webhook or structured import: common ERP, CRM, accounting and ticketing systems, and mailboxes through Microsoft 365 or Google Workspace. Whether your system is suitable is something we assess during the discovery phase, based on its documentation.

Who sees which data, and where is it processed?

We agree in advance which mailboxes and systems Hermes may read and write, and which fields stay out of view. For the language models we choose, where possible, business APIs with processing in the EU and no training on your data. Those arrangements are set out in the data processing agreement.

How do we know Hermes is doing it right?

Every task has a log of what was read, which value was recognised and what was done with it. In the first weeks everything runs as a draft, so you can see per task how often the outcome is right. Only on the basis of those figures do we decide what may run automatically.

What does Hermes cost?

That depends on the number of processes, the systems that need integrating and the volume. After the discovery phase you receive a fixed price for the first process and a monthly fee for management, monitoring and the models used. We do not quote rates before we have seen the process.
